This policy explains how Inspired Shipping Software Limited processes personal data across its multichannel order, warehouse, carrier and related support services.

Inspired Shipping is a business-to-business platform. Merchant customers normally decide which order, customer and shipment data is processed. We process that information to provide the configured service and connect merchant-selected channels, carriers and providers.

2. Our role

For merchant order, recipient and shipment data, Inspired Shipping will usually act as a processor or service provider for the merchant. The merchant remains responsible for its collection of that data and the instructions it gives us.

We may act as controller for business-account administration, billing, support, security, compliance and direct business communications.

3. What the platform does

Depending on the customer’s configuration, the platform may be used to:

  • Connect supported sales channels, marketplaces and structured order imports.
  • Import and manage orders, products, customers and delivery details.
  • Match listings and order lines to operational product records.
  • Select configured shipping services and apply allocation rules.
  • Create carrier shipments, references, labels and related documents.
  • Manage returns, exchanges, collections and fulfilment activity.
  • Return fulfilment or tracking details to a connected channel where supported.
  • Provide operational dashboards, audit records, troubleshooting and support.

4. Connected channels and providers

Customers can authorise supported commerce channels, marketplaces, carriers, delivery providers, aggregators and other systems. The data available from each connection depends on the customer’s configuration, approved permissions, provider API and enabled functionality.

Where required to provide a selected service, relevant recipient, order, parcel and delivery data may be sent to the chosen carrier or provider. Provider availability and capabilities vary, and planned integrations are not treated as active connections.

5. Personal data we may process

  • Recipient names, email addresses and telephone numbers.
  • Shipping and billing addresses.
  • Order numbers, references, channel identifiers and fulfilment state.
  • Product, SKU, parcel, package, weight and dimension information.
  • Carrier service, consignment, label, tracking-reference and delivery information.
  • Returns, delivery instructions, exceptions and operational notes.
  • Merchant-user names, business contacts, account settings and support messages.
  • Audit logs, IP addresses, device or browser data and security events.

6. How we use personal data

  • Authenticate users and enforce organisation-scoped access.
  • Connect authorised channels and provider accounts.
  • Import, display and process operational order and product data.
  • Select services, create shipments and retain provider output.
  • Send required information to merchant-selected carriers and providers.
  • Operate reporting, audit, troubleshooting and customer support.
  • Monitor security, errors, reliability and potential misuse.
  • Meet legal, regulatory, accounting and contractual obligations.

7. Lawful bases

Depending on our role and the context, processing may rely on performance of a contract, legitimate interests, compliance with a legal obligation or consent where applicable law or provider rules require it.

8. Shopify and marketplace data

We access only the permissions and data needed for enabled functionality. For Shopify, the platform supports the mandatory customer-data-request, customer-redaction and shop-redaction webhooks. Verified requests are handled in line with Shopify requirements and applicable retention duties. We do not sell merchant, marketplace or recipient personal data.

9. Sharing with third parties

Information may be shared where necessary with:

  • Channels, marketplaces and ecommerce platforms authorised by the customer.
  • Carriers, postal operators, courier networks and freight providers.
  • Shipping aggregators, fulfilment and delivery-management providers.
  • Cloud hosting, database, storage, email, monitoring and support providers.
  • Professional advisers, auditors, regulators or authorities where required.

We limit sharing to the information reasonably required for the relevant purpose.

10. Retention and deletion

Data is retained only for as long as required to provide the service, maintain appropriate operational and audit records, resolve disputes and meet legal or accounting obligations. Retention varies by record type, configuration and connected provider. Data may be deleted, anonymised or archived where appropriate.

11. Security

Measures include HTTPS/TLS transport encryption, authentication, role and organisation-based access controls, managed credential storage, restricted production access, audit logging, monitoring and webhook-signature verification where supported.

12. International transfers

Some connected providers or infrastructure services may process data outside the United Kingdom or European Economic Area. Where this occurs, appropriate contractual and technical safeguards are used as required by applicable data-protection law.

13. Individual rights

Depending on the law and circumstances, individuals may have rights to access, correct, delete, restrict or object to processing and to receive a copy of personal data. Where an enquiry relates to an order, the relevant merchant may be the primary controller and should normally be contacted first. We support merchants in responding where required.

14. Cookies and local storage

The service may use cookies, local storage or similar technologies required for authentication, security, session management, preferences and operation. Optional analytics or marketing technologies, if introduced, will be managed under applicable consent rules.

15. Children

Inspired Shipping is a business platform and is not intended for use by children. Recipient information supplied to a merchant may still be present in imported order data where needed for lawful delivery.

16. Policy changes

We may update this policy as the service, providers or legal requirements change. The current version will remain published with its last-updated date.

17. Contact and complaints
